Terms of Service

1. About these terms
These Terms of Service (“Terms”) govern your access to and use of the Scentsation website at scentsation.ca (the “Site”) and any workshops, custom blending sessions, or related services we provide (collectively, the “Services”). Scentsation is a sole proprietorship based in Edmonton, Alberta, Canada (“we,” “us,” or “Scentsation”).
By creating an account, booking a workshop, or otherwise using the Services, you agree to these Terms. If you do not agree, please do not use the Services.
2. Eligibility
You must be at least 16 years old to book a workshop on your own. Participants under 16 are welcome but must be accompanied by a paying adult. By placing a booking, you confirm that you (and any guests in your party) have read the safety and allergy information we provide and are physically able to participate.
3. Bookings, deposits, and payment
Each workshop seat is held only when a booking is confirmed. Depending on the option you choose at checkout, payment is collected as:
- Online deposit — a non-refundable deposit charged immediately through Square. The remainder is due in studio on workshop day.
- Payment link — we email you a secure Square link to pay the deposit. Until paid, your seat is held for up to 24 hours; after that it may be released.
- Pay on site — no deposit required; full amount paid in studio. We may decline this option for last-minute or high-demand bookings.
Prices and deposit amounts are shown on the booking page and may change without notice; the price quoted at the time you book is the one we honour for that booking. All prices are in Canadian dollars (CAD). Payment processing is handled by Square, Inc.; we do not see or store your full card number.
4. Cancellation, rescheduling, and refunds
Deposits are non-refundable. Once paid, a deposit is not returned for any customer-initiated change. If you reschedule, your deposit carries over to the new date — no additional deposit is required.
- 72 hours or more before your workshop: you can cancel or reschedule yourself from your account page. Your deposit is kept (non-refundable) but a reschedule applies it to your new date.
- Less than 72 hours before, or no-show: self-serve changes are closed. Email hello@scentsation.ca and we'll do our best to help, but the seat and deposit may be forfeited.
- Workshop cancelled by us (e.g. instructor illness, weather): you can reschedule at no charge with your deposit carried over, or request a full refund of any amount paid — your choice.
Where a refund is issued (such as a workshop we cancel), it goes to the original payment method and typically appears within 5–10 business days.
5. Studio conduct, safety, and allergies
Workshops involve essential oils, alcohol-based perfumer’s solvent, and aroma chemicals. You are responsible for telling us before your workshop about any allergies, sensitivities, pregnancy, or medical conditions that may be affected by these materials. We will do our best to accommodate, but we cannot guarantee a fragrance-free environment.
We reserve the right to refuse service or remove a participant who is intoxicated, disruptive, or who behaves in a way that endangers others or the studio. No refund is owed in that case.
6. Your creations and recipes
Any custom fragrance you blend during a workshop, and the recipe behind it, belong to you. We keep a record of your formula so we can reproduce it on request (see our Privacy Policy). We will not sell or commercially distribute your recipe without your written permission.
Conversely, the workshop format, teaching materials, fragrance library, branding, photography, and software that power Scentsation remain our intellectual property. You may not copy, resell, or commercially reproduce our materials without written permission.
7. Accounts
You are responsible for keeping your password and the device on which you stay signed in secure. Tell us right away at hello@scentsation.ca if you believe your account has been accessed by someone else. We may suspend or terminate accounts that we reasonably believe are being used to abuse the Services or violate these Terms.
8. Disclaimers
The Services are provided “as is.” While we put care into every workshop, we make no warranty that any particular scent outcome, longevity, or skin performance will be achieved — perfumery is part craft, part chemistry, and part personal preference. Information on the Site about ingredients is provided for educational purposes only and is not medical or therapeutic advice.
9. Limitation of liability
To the maximum extent permitted by law, Scentsation’s total liability to you for any claim arising out of or relating to the Services is limited to the amount you actually paid us for the workshop or booking giving rise to the claim. We are not liable for indirect, incidental, or consequential damages.
Nothing in these Terms limits any right you have under Alberta’s consumer protection legislation that cannot lawfully be limited or excluded.
10. Governing law and disputes
These Terms are governed by the laws of the Province of Alberta and the federal laws of Canada that apply there. You and we agree that any dispute will be submitted to the courts of Alberta sitting in Edmonton, except where local consumer protection law gives you the right to bring a claim where you live.
11. Changes to these terms
We may update these Terms from time to time. The “Last updated” date at the top of this page will reflect the most recent change. If the change is material and affects bookings that are already confirmed, we will email account holders. Continued use of the Services after a change means you accept the updated Terms.
